Job Description

The Senior Manager, CA Administration is a regular full-time position reporting directly to the Chief of Sport (COS), This position is responsible for providing administrative and logistical support to National Team (NT) Programs and California offices. Extended hours may be required to include nights, weekends and holidays. The position is located in Anaheim, Calif.


Summary of Duties and Responsibilities include but are not necessarily limited to:


  • Ensure effective and efficient office administration and logistical support of national teams and California offices.
  • Serve as the primary point of contact with the American Sports Center (ASC) on behalf of national team programs regarding court scheduling and any facility issues.
  • Be the point person with sponsors for the order, delivery and tracking of national team VIK product.
  • Serve as primary point person for administrative tasks required by USAV HQ.
  • Responsible for ensuring Certificates of Insurance are in place.
  • Develop alumni network and directory to maintain contact with former NT athletes, coaches, and staff.
  • Ensure national team staff, coaches, technical advisers, athletic trainers and other personnel involved with the programs are registered with USAV, SafeSport trained, and background checked as appropriate.
  • Assist as requested with the logistics and operation of USAV events that occur in the Southern California area.
  • Coordinate with the HP staff any activities or programs planned to be conducted at the National Teams Center or involving national teams staff or athletes offsite.
  • This position supervises two (2) full time personnel, one (1) located in Anaheim, Calif., and one (1) located in Torrance, Calif.
National Team Athlete Support
  • Develop and manage the indoor national team athlete support policy and produce monthly check requests.
  • Oversee the National Team Center athlete housing program, assign keys, fobs, and parking.
  • Negotiate contractual terms of athlete apartments, offsite competition and training facilities.
  • In coordination with the COS, develop and finalize with USOPC Deliverables Agreements for all protected competitions.
  • Assist with the development of athlete handbooks (beach, indoor and sitting) and the support policies.
  • Produce annually athlete agreements (beach, indoor and sitting) and approve monthly payments.
  • Maintain apartment contract leases and any applications, forms, housing agreements, payments, reimbursements, etc. Work with hotels and other housing partners as needed.
  • Ensure all required USOC athlete paperwork is completed and forwarded to the senior manager, international programs – direct athlete support; Operation Gold, etc.
  • Coordinate with the senior manager, international programs to complete travel documents to include visas (passport renewals and additional passport pages when necessary) and other required forms required for international competitions.
  • Enter and Track ITA’s. Serve as the primary point of contact, working with the senior manager, international programs to troubleshoot travel issues while NT athletes travel domestically and abroad.
  • Assist as requested with local transportation to airport for domestic and foreign trips and athlete travel needs as they join or depart the program.
  • Develop and maintain a 24/7 support system to assist athletes as needed.
  • Manage the approved national team budget in accordance with internal financial controls.
  • In coordination with the COS, produce and submit Final Reports for Performance Pool Funding Projects annually (upon receipt of final unaudited financials).
  • Assist in the development of budgets for G110, G120 and G130.
  • Review G210, G220, G310, G320, G330 monthly financial statements and assist in period reviews.
  • Process and approve purchase orders, reimbursement and check requests before submittal to Colorado Springs.
  • Review and approve, prior to submittal, monthly credit card reconciliations and cash advance reconciliations for team travel. Ensuring credit reconciliations and expense reports are submitted in a timely manner.
  • Coordinate the preparation of, and revise as necessary, the national teams annual operating budget submissions in consultation with the head coaches, director sports medicine, and chief of sport.
  • Coordinate the approval and purchase of team technical and equipment needs.
Marketing and Communications
  • Serve as primary point person with USAV MarCommCreative to facilitate any communication/marketing initiatives.
  • Provide competitive results, individual statistics, photo and biographical materials, alumni list etc.).
  • Oversee local NT media, communications, and community service/outreach efforts.
  • Facilitate of onsite media requests, interviews, etc. as requested by the MarCommCreative Department.
  • Other duties and projects as assigned.

Minimum Qualifications

  • Bachelor’s degree in business administration, related degree or relevant work experience.
  • Minimum six (6) years of office management or other relevant work experience
  • Excellent oral and written communication skills and working knowledge of computer programs
  • Strong interpersonal skills and the ability to work effectively with diverse populations including athletes, coaches, city officials and administrative staff.
  • Must be able to successfully pass a USAV background screening (prior to hire date).
  • Must successfully complete SafeSport certification within two weeks of hire date. Training must be maintained throughout employment.
